Documentation / SuppZone field notes

Keep estimates, photos, costs, and communication connected so the next person can pick up the file.

The short answer

A useful file combines the latest carrier estimate, claim and contact details, measurements, organized photos, requested scope, and relevant invoices and communication. It should make the current status and next action clear.

Use one place for the current record

Keep the latest carrier estimate easy to identify and retain older versions for comparison. Use consistent names with document type and date. Separate signed job paperwork, carrier documents, supplement documents, and project costs so the office can find them without guessing.

Write notes that support a handoff

After a meaningful update, record who was contacted, what was discussed, what is pending, and who owns the next step. A status such as “waiting” is less useful than a dated note explaining exactly which document or response is missing.

Give every request an owner

Tag the right person using the agreed company workflow. Assign a task or follow-up date where appropriate, and confirm requested documents have been uploaded. Your CRM milestones should reflect completed work and verified status rather than an assumption that another department has finished.

Your next-file checklist

  • Latest estimate plus prior versions
  • Photos, measurements, scope notes, and costs
  • Contact and communication records
  • Next action, owner, and follow-up date
